The Venue Christmas Planning Timeline: July to December, Month by Month

Christmas trading rewards the venues that start earliest. Around 30% of Christmas bookings are made by October, and pre-booked festive sales have grown from 18% to 32% of festive revenue since 2019, with pre-booked guests spending roughly £54 per head against £33 for walk-ins (Young’s, Propel Multi-Club Conference). Here is the month-by-month timeline we see the best-run venues follow.

July: lock the offer

Confirm party night dates, joiner night capacity and private hire availability. Engineer festive menus around high-margin items, limit choices to control waste, and make sure every menu has vegetarian and allergen-friendly options. Decide deposit policy now: deposits taken at booking are the single biggest protection against December no-shows.

August: build the booking journey

Set up every festive event in your pre-order system so bookings can flow from day one: menus loaded, drink packages priced, deposit rules applied. Photograph last year’s events or dress a room early; festive pages with real photography convert better than stock.

September: launch

Open bookings and tell your database first. Early-bird incentives for group organisers work because the organiser books for ten or more people at once. Publish your festive page with packages, prices and a live booking link, and make sure it is visible from your homepage.

October: chase the group organisers

Around 30% of festive bookings land this month. Give every party organiser their own delegated access so they can add guests, collect their group’s menu choices and manage their own table, instead of emailing you spreadsheets.

November: convert pre-orders and drinks

Guest-facing pre-order invitations go out with automatic reminders. Post-event feedback and guest data collected during the season become next year’s marketing list. Venues that rebook groups in January fill their following December first.
