Stop losing the bookings you have already won
Most venues do not have an enquiry problem. They have a follow up problem. Creventa Flow captures every event enquiry, moves it through your pipeline, handles proposals, quotes, deposits and payment schedules, and forecasts your revenue. Switch it on inside the platform you already use to run the event itself.

The reason bookings go elsewhere
The venue that replies first
wins the business
Enquiries arrive into a shared inbox, get logged in a spreadsheet, and are chased by whoever happens to be in that day. It is not carelessness. It is a process that worked at ten enquiries a month and quietly stopped working at fifty.
01 Convert
Nothing sits in an inbox waiting for someone to notice
Every enquiry lands in one pipeline with an owner, a stage and a next action. Your team stops remembering and starts working a list.
- Customisable names and number of stages from New, Contacted and Site Visit through Proposal Sent, Provisional and Confirmed
- Branded proposals and quotes built from your own packages, inside the platform
- Deposits and full payment schedules, with overdue and due soon tracked for you
- Two way email sync with Office 365 or Google Workspace, so the thread lives on the enquiry
- Tasks with due dates, milestone templates and automatic date clash checking
You don’t simply need more enquiries. You need to stop losing the ones you already have.

02 Task management
Nothing gets forgotten, because nothing lives in someone’s head
Every enquiry carries its own tasks, with an owner and a due date. The next action is always visible, and overdue work is impossible to miss.
- Tasks with due dates on every enquiry, assigned to a named owner
- Milestone templates so each event type follows the same steps every time
- Event timelines covering deposit due, menu selection, final numbers and balance
- Overdue tasks surfaced on the dashboard rather than buried in an inbox
- Shared notes and a full communication log, visible to whoever picks it up
Your team works a list, not a memory.
Every task sits against its enquiry, so the history travels with it.
03 Proposals, contracting and invoicing
Quote, contract and invoice without leaving the platform
Branded proposals built from your own packages, contracts agreed, deposits taken and invoices raised, all against the same enquiry record.
- Branded proposals and quotes built from your own packages and pricing
- Quote versioning, so you can see what changed and when
- Contracting and sign off kept against the enquiry, not in a separate folder
- Deposits, instalment payment schedules and invoicing in one place
- Overdue and due soon tracked for you, with payment status on the dashboard
One record from the first quote to the final invoice.
| Stage | Amount | Status |
|---|---|---|
| Quote v2 issued | £27,600 | Accepted |
| Contract signed | — | Complete |
| Deposit invoice | £5,520 | Paid |
| Instalment 2 | £11,040 | Due 14 May |
| Final balance | £11,040 | Due 21 Jun |
Payment schedule generated from the accepted quote, then tracked for you.
04 Yield
Sell the dates nobody asks for
Everyone wants the third Saturday in December. Creventa shows your team where the gaps actually are, so when a date is gone they can steer the customer to a quieter one instead of losing the enquiry.
- Visual availability and occupancy across every space, so gaps are obvious at a glance
- Date clash checking on every enquiry, with what else is already in the diary that day
- The information to price by demand rather than charge one rate all year
- Report by source, event type and manager, so you know which channels fill the quiet weeks
Busy twelve months of the year, not three.
05 Forecast
Know where the year is heading, in time to change it
Set the target, then watch it happen. Revenue forecasting and year on year pacing, the tools a revenue manager expects and most independent venues have never had.
- Forecast by event date or sale date, against budget
- Conversion rate, loss rate and pipeline by status, live
- Pace report: this year against last year, month by month, confirmed value and volume with the variance
- Tentative and prospect business shown alongside confirmed, so you can see the upside
- Conversion by source and by event type, so marketing spend follows the evidence
Stop finding out in January that December was soft.
| Month | This year | Last year | Variance | Tentative |
|---|---|---|---|---|
| September | £48,200 | £41,600 | +15.9% | £12,400 |
| October | £61,750 | £58,900 | +4.8% | £19,200 |
| November | £72,400 | £69,100 | +4.8% | £24,850 |
| December | £96,300 | £114,700 | −16.0% | £38,600 |
| January | £21,900 | £19,400 | +12.9% | £7,300 |
December is pacing 16% behind. Seen in August, that is a problem you can still fix.
06 Continuity
Anyone can pick up any event, on any day
Every email, call and note recorded against the enquiry. When a colleague is on holiday, off sick, or handing an event over, the next person has the whole history rather than a forwarded thread.
- Full communication log on every enquiry, visible to the team who need it
- Shared notes, tasks and uploaded documents in one place
- Repeat customers flagged as booked before, with their previous events attached
- GDPR consent captured and recorded at the point of enquiry
Your customer should never have to explain their event twice.
- Email from clientJames Reddick · 11:04Can we move the drinks reception to the Library?
- Note addedPriya Shah · 11:20Library confirmed available. Flagged to ops.
- Handed overPriya Shah to Tom Ellery · annual leaveFull thread and payment schedule visible to Tom.

How it works
From first enquiry to confirmed booking, then straight into the event
Eight clear stages, then the same record carries on into event delivery. No export, no rekeying, no second system.
The confirmed enquiry becomes the live event in the same platform. Nothing is re-entered.
One platform
Flow is not another system. It is a module you switch on
Creventa is one platform for hospitality events. Flow is the enquiry management module within it, exactly like every other module: same login, same data, same branding. Turn on what your venue needs and leave the rest.
The Creventa platform
Flow wins you the booking. Creventa delivers the event. Same platform, same data, no handover.
Tied into another platform? See Creventa Night Shift, our switching offer for venues moving on from Access Collins and DesignMyNight.

Before you book a demo
What venues ask us about Flow
Is Flow a separate product from Creventa?
No. Creventa is one platform and Flow is the enquiry management module inside it. Same login, same data, same branding. If you already use Creventa for pre-orders, allergens and seating, Flow simply adds the front half of the journey.
Does Flow replace our PMS or sales and catering system?
No. Creventa works alongside Opera, Delphi and RezLynx. Flow is for venues that want enquiries, proposals and quotes in the same place as event delivery, so a booking won in Flow starts the event with no rekeying.
We already have a process that works.
Most venues do, usually a shared inbox and a spreadsheet. The question is what the late replies and the untracked follow ups are costing you. Flow keeps the way you run events, without the manual admin.
How long does setup take?
Live and growing sales within days, not months. We bring across your packages, menus and settings, and onboarding and training are always included.
Will it work with our email?
Yes. Connect an Office 365 or Google Workspace mailbox and emails to and from each contact sync automatically against the enquiry.
What happens to our existing enquiries?
They come with you. Live enquiries, packages and pricing are migrated so you do not start day one with an empty pipeline.
Can we use Flow without the rest of the platform?
Tell us how your venue is set up today and we will talk you through the right combination of modules. Every venue runs events differently, so the answer depends on what you already have in place and what you want Creventa to take off your team.
See what your pipeline is actually worth
Twenty minutes with someone who has worked in venues. We will look at your enquiry process as it is today, and show you what Flow would change.
Part of the Creventa Platform. Creventa Flow is £99 + VAT per venue per month, added on top of your Creventa package. Launch pricing until 31 December 2026
